Ordering with a purchase order

How schools, universities, public bodies and account customers order on a purchase order and pay on invoice.

If your organisation can only buy against a purchase order, this is how it works with us. It is the normal route for schools, universities, the NHS, councils and most larger companies.

1. Get a price in writing

For anything in the shop, the price on the page is the price, with breaks at quantity. For made-to-order bags, use the quote tool: you get a written quotation with a reference, the unit price ex VAT, delivery, VAT, the delivery date and how long the price holds. The quotation prints or saves as a PDF, and it carries our company number, VAT number and bank details, so it is the document to attach to your requisition.

2. Set us up as a supplier

Most finance teams need this done once. Our details are on the supplier information page. If you have a new supplier form, send it with your trade account application or email it to us, and we return it completed within one working day.

3. Send the purchase order

Make the purchase order out to the registered company name shown on the supplier information page, quote our quotation reference or the product codes and quantities, and give the delivery address and the address for invoices. Email it to the address on that page. With a trade account you can also place the order online: choose Purchase order at checkout and enter the PO number.

4. Delivery and invoice

We confirm the order and the delivery date by return. When the goods are dispatched we email a VAT invoice as a PDF to your accounts payable address, with your purchase order number on it. Payment is due 30 days from the invoice date, by bank transfer.

Paying before delivery instead

If it is quicker for you to pay up front, ask for a pro-forma invoice, or open one from any unpaid order in your account. Pay it by bank transfer or card and we dispatch as soon as the payment arrives. A purchasing card works at the normal checkout.
