Privacy policy

What personal data we collect, why, who we share it with, how long we keep it and your rights.

This policy explains how Input IT Ltd, trading as Aqua Filter Socks, uses personal data when you visit filtersock.co.uk, buy from us, ask for a quote, apply for a trade account or contact us. We are the controller of that data under the UK GDPR and the Data Protection Act 2018.

Who we are

Input IT Ltd, registered in England and Wales, company number 04812979. Trading address: Pickups Storage, Unit 10/6, William Street, Leeds LS28 6JR. Registered office: 2 Horton Close, Rodley, Leeds LS13 1PJ. Email [email protected], telephone 0113 465 5102.

What we collect

  • Orders: your name, company, billing and delivery addresses, email address, phone number, what you bought and how you paid. Card details go straight to our payment provider; we never see or store your full card number.
  • Accounts: your login details and order history if you create an account, including any sign-in through a social account you choose to use.
  • Quotes and enquiries: what you tell us in the quote tool, contact form or by email or phone, including any drawings, photos or files you send.
  • Trade accounts: your organisation’s details, contacts for orders and accounts, addresses, purchase order and invoicing details, and any supplier forms you upload.
  • Website use: technical data such as your IP address, browser and the pages you visit, collected through cookies and server logs (see below).

Why we use it, and our lawful basis

  • To take, deliver and support your order, quote or trade account: performing a contract with you, or taking steps you ask for before one.
  • To keep accounting and tax records: a legal obligation.
  • To protect the site and prevent fraud and spam: our legitimate interests in running a secure shop.
  • To tell business customers about products and prices relevant to what they buy from us: our legitimate interests. You can opt out at any time by replying to any email or contacting us.

We do not sell your data, and we do not send marketing to private customers without their consent.

Who we share it with

Only the service providers we need to run the shop, each acting on our instructions or under their own privacy terms:

  • Payments: Stripe and WooPayments process card and wallet payments and carry out fraud checks.
  • Delivery: Sendcloud, which we use to create shipping labels, and the carrier delivering your parcel (for example Royal Mail, DPD or InPost) receive your name, delivery address, and email or phone number for delivery updates.
  • Website services: our hosting provider, and Automattic (WooCommerce and Jetpack), which provides site security, performance and anonymous visitor statistics. Spam filtering on our forms is provided by Akismet.
  • Professional advisers such as our accountants, and authorities where the law requires it.

Some of these providers process data outside the UK, mainly in the United States. Where they do, the transfer is covered by the UK’s adequacy regulations, or by the UK International Data Transfer Agreement or Addendum.

Cookies

We use cookies that the shop needs to work: keeping items in your basket, keeping you signed in, remembering whether you prefer prices shown with or without VAT, and protecting payments against fraud. We also use anonymous statistics to see which pages are useful. We do not use advertising or tracking cookies. You can block or delete cookies in your browser, but the basket and checkout will not work without the essential ones.

How long we keep it

  • Order, invoice and trade account records: six years from the end of the financial year they relate to, as required for tax.
  • Quotes and enquiries that do not lead to an order: two years.
  • Customer accounts: until you ask us to close the account, apart from the order records above.
  • Server logs: a few weeks.

Your rights

You can ask us for a copy of your data, to correct it, to delete it, to restrict or object to how we use it, or to receive it in a portable format. Some rights have limits; for example, we must keep order records for tax. To use any of these rights, email [email protected]. We will reply within one month.

If you are unhappy with how we have handled your data, please tell us first. You also have the right to complain to the Information Commissioner’s Office: ico.org.uk/make-a-complaint, telephone 0303 123 1113.

Changes

We may update this policy. The current version is always on this page.
